Your Guide to Building Stronger Connections Within Encounter Atlanta 

Checklist for First Contact with New Member

Check-In & Communication Schedule  

Every member relationship moves through four phases. Adjust the pace based on individual needs—the goal is genuine care, not routine.


1. Make first contact within 48 hours of assignment 
2. Call or text weekly to welcome, answer questions, and invite to services 
3. Meet in person on Sunday; introduce to other leaders and members 
4. Guide toward iJoined class and a community group

1. Shift to every-other-week check-ins via text, call, or voice note
2. Share upcoming events and ministry opportunities
3. Ask about spiritual growth, prayer needs, and group involvement
4. Don’t only reach out around events—be intentional between Sundays

1. One personal check-in per month on life and faith journey
2. Share seasonal initiatives, special events, and volunteer needs
3. Encourage deeper involvement in a ministry aligned with their gifts
4. Adjust frequency up if circumstances change (new need, life transition)


1. Host a group outing with all your assigned members 
2. Ideas: fellowship meal, bowling, movie night, group hike, local event
3. Reflect on spiritual growth and celebrate wins together
4. Reassess care level—does anyone need more or less frequent contact


Crisis & Emergencies 

When a member faces a crisis, your role is to be present, listen, and escalate—not to solve the situation alone. All crisis situations require a response within 24 hours and notification to your Pastor or Elder.


Call or visit within 24 hours. Offer prayer and ask about practical needs (meals, transportation, childcare).

Reach out within 24 hours with a personal call. Be present—listen more than advise.


Check in within 24 hours with compassion. Avoid diagnosing—focus on listening and encouragement.

Listen without judgment. Identify the specific need and any urgency.

Reach out within 24 hours. Provide a safe space for the member to share at their own pace.


Listen to the member’s experience within 24 hours. Do not take sides or attempt to mediate.



Response window: Contact the member within 24 hours of learning about the situation.
Escalation: Notify your Pastor or Elder within 24 hours. Do not attempt to handle crises independently.
Confidentiality: Treat all member situations with discretion. Share details only with your Pastor or Elder as part of the escalation process.
Follow-up: After initial response, continue checking in regularly. Crisis care often requires sustained attention beyond the first contact.

Engagement Ideas 

You own the planning for your group’s engagement activities. Use the ideas below as a starting point—mix and match based on your members’ interests, availability, and season of life. The best engagement feels natural, not forced.

1. Group dinner at a local restaurant — rotate who picks the spot each quarter
2. Bowling night, movie night, or game night — low-cost and family-friendly options work best
3. Outdoor activities like group hikes, park picnics, or attending a local festival
4. Seasonal gatherings tied to holidays (cookout for July 4th, potluck for Thanksgiving, etc.)
5. Attend a local sporting event or concert together as a group

Pro Tip: Poll your group for preferences before planning. A quick text vote keeps everyone invested and boosts attendance.

1. Weekly prayer thread — start a group text or chat where members can drop prayer requests anytime
2. Prayer partner pairing — connect two members to pray for each other throughout the week
3. Participate alongside ministry initiatives — join church-wide prayer walks, pre-service prayer circles, or prayer and fasting challenges as a group to stay connected to the larger Encounter community

Pro Tip: Keep prayer accessible. Not everyone is comfortable praying out loud—offer options to submit requests via text or participate silently.

1. Support Made For Bigger — Encounter’s nonprofit — by volunteering your group for their events, drives, and outreach initiatives
2. Rally your group around Encounter’s community service initiatives like the Winter Coat Drive and other seasonal campaigns

Pro Tip: Tie service to what’s already happening. Check with Made For Bigger and Encounter’s outreach team for upcoming opportunities so your group can plug in easily.

1. Share the weekly eNotes link with your group every Sunday after service
2. Highlight one key takeaway from the sermon and ask your group to share theirs
3. Use eNotes discussion questions as a midweek conversation starter via group text
4. Encourage members to journal their reflections and share insights at your next gathering

Pro Tip: eNotes work best as a bridge between Sundays. A simple “What stood out to you?” text on Monday keeps the message alive all week.

Key Reminders

Every check-in should feel personal, not transactional. Use their name. Reference past conversations.
Don’t only reach out around events. The most impactful contacts happen when nothing is “happening.”
Log your contacts. A shared tracker keeps leadership informed and prevents anyone from slipping through.
Escalate early. If a member is unreachable or in crisis, notify your Pastor or Elder—don’t wait.
Celebrate wins. Baptisms, answered prayers, new group sign-ups—acknowledge them.
